WHAT TYPES OF EVENTS ARE YOU AVAILABLE FOR?

The Headliners Band specializes in weddings, corporate events, galas, fundraisers, country club events, and parties. Any event where high-quality musical entertainment is required.

ARE YOU AVAILABLE AS A SMALLER 5 – 8 PIECE GROUP?

No, and it really wouldn’t be the same product with a smaller configuration. Please feel free to call or email us, and we would be happy to refer you to some top smaller groups. Be cautious of groups that advertise themselves in various configurations, such as a 3 to 13-piece band. These are often organizations that merely assemble musicians from a database to meet any size requirement.

The Headliners Band™ is a fixed ensemble, comprised of the same highly talented and specialized performers featured. There are significant advantages to having a consistent group of the same performers. These groups tend to be much more polished and well-rehearsed compared to those that are merely pieced together. For our clients, this results in seamless, non-stop transitions between songs, as well as a significantly higher caliber of performance both musically and visually..

HOW MUCH POWER DO YOU REQUIRE?

We require a minimum of three separate 20-amp circuits to the stage area and for the band only. This is your typical household type power on three separate breakers and not shared by other items. Many venues have the power in place and nicely labeled; other venues (especially venues with moveable walls) don’t have any power and require what is known as a power drop box. The power drop box is always the preferred power choice when available. We require the power for band use only, as other items, such as small lighting, can create buzzing sounds in the sound system, or worse yet, cause the power to blow.

HOW DOES THE BAND DRESS?

Unless instructed otherwise, we typically wear modern fitted suits, ties, and jackets for our performances, with our female vocalists in formal gowns. Our front vocalists will sometimes do a quick wardrobe change during the dinner segment, and dress more for fun after dinner.

For corporate events, we balance a fun style with a formal appearance. Additionally, we often receive requests to dress in a style similar to what is seen in some of our videos, and we are more than happy to accommodate those requests.

HOW LONG DOES THE BAND PLAY?

Most events include a solo performer for a one-hour cocktail, and the band for four-hours. Many of our corporate events include the band for a two or three-hour continuous performance. We are always available for optional overtime as well.

WHERE IS THE BAND LOCATED?

The Headliners Band is located in Florida and considers Miami, South Florida, Naples, Sarasota, Tampa, and Orlando as our regular travel areas. Additional travel fees may be incurred for locations such as Key West or Jacksonville.

DO YOU OFFER MUSIC FOR THE COCKTAIL HOUR?

Yes, we can provide a guitarist for the cocktail hour complimentary, or a pianist if a piano is available. Additionally, we can include other musicians, such as a saxophonist. Our musicians specialize in instrumental Easy listning and Smooth Jazz, which is often the preferred background music for cocktail hours. Furthermore, we can help secure specialized acts for your event, such as a New Orleans-themed horn group, steel drummers, Latin bands, or acoustic guitar/vocal performances.

WHAT KIND OF PAYMENTS DO YOU ACCEPT?

Checks, direct deposits, Zelle. Other options may be available. 

WHY DON’T I SEE THE HEADLINERS BAND LISTED ON MY VENUE’S PREFERRED VENDOR LIST?

We are proud to be recognized as preferred vendors by many venues. However, we do not believe in paying venues to be included on their lists, nor will we agree to pay a commission for this status. If you see us listed as a preferred vendor, it’s because the venue genuinely believes that we are a top-tier organization worthy of inclusion, not because we made a payment to be there. Please be cautious if a venue only allows you to use vendors from their list. This practice is illegal and unethical, and we encourage you to report it to the Florida Department of State at (850) 245-6500.

WHEN DO YOU ARRIVE ON LOCATION FOR SET UP?

Our setup crew and sound technicians typically arrive with the bulk of our equipment four hours before the band’s start time. We usually set up in two to three hours, allowing us some downtime to rest before the show. Other band members, such as the drummer, bassist, and guitar players, arrive one and a half hours before the performance, while the vocalist arrives one hour before.

HOW MANY PIECES ARE IN THE BAND?

We proudly present our 13-piece group, as featured in our demo. This ensemble includes multiple outstanding front vocalists, bass, drums, guitar, keyboards, our male vocalist/sound technician, and a three-piece horn section. Additionally, we can incorporate extra members, such as our Latin male vocalist/percussionist, who appears in the “Latin Mix” segment of our online video.

WHAT SIZE STAGE OR SPACE DO YOU REQUIRE?

We can work very comfortably on a stage 12′ deep by 24′ wide, and this is a very typical size stage for most events.  A larger stage would certainly be even better, as it provides our performers with more room to move around. However, we prioritize ensuring there is ample space for the dance floor and prefer not to overwhelm the room with an oversized stage.

We can also perform without a stage, and in some venues, this setup may be just fine, or even preferable. That said, having a stage usually enhances the overall appearance and allows all guests to easily see the band, especially when the dance floor is crowded.

WILL A 10 TO 13-PIECE GROUP BE TOO LOUD FOR MY EVENT?

Excessive volume is not solely determined by the size of the band; in fact, some of the loudest bands in history were only four or five members. We believe that we manage our sound and volume better than anyone else in the industry. To achieve this, we utilize some of the most expensive, high-end, and high-tech equipment available, ensuring that our sound remains consistently perfect.

CAN YOU LEARN A SPECIAL SONG FOR MY EVENT?

For weddings, we always plan on learning the first dance and the parent dances. We can also learn a song that holds special significance for your event. However, since learning and performing songs at a high-quality level requires extensive preparation and rehearsal, we need any requests to be submitted at least three months in advance of the performance date.

WHAT TYPES OF MUSIC DO YOU PLAY?

The Headliners Band offers a wide variety of music, spanning from Big Band and Swing to today’s current hits. While we enjoy performing all styles, our main focus is on fun, well-known dance hits that will energize your event and fill the dance floor.

DO YOU OFFER CONTINUOUS MUSIC?

We take a 20 to 25-minute break timed to be taken during the main course service. We’ve found that guests prefer this time to converse at their tables, and it’s actually better not to have the band playing during this period. We provide appropriate background dinner music via laptop, often creating a custom playlist based on your requests. This break also allows the band to eat, refresh themselves, and come back strong for the performance after dinner. We do not stagger breaks because that would give clients even less time with the full band, and some members (like the drummer) are essential for most music.

While I advise against continuous music during dinner, as it can unnecessarily exhaust the band and diminish the overall quality of the event, we do have options for continuous music at an additional cost if you absolutely require it.

DO YOU CARRY LIABILITY INSURANCE?

Yes, we have the standard two-million-dollar insurance policy required by some venues. If you’d like, we can also list your venue as additionally insured. However, we need at least two weeks’ notice to arrange this for you.

HELP US DO A BETTER JOB FOR YOU

ACCESS TO THE VENUE, BALLROOM, AND STAGE

While this typically isn’t an issue, we have encountered venues where access to parts of the room is blocked off, or where the stage is crowded with chairs, tables, and items from other vendors. This situation usually arises when the ceremony is held in a section of the same ballroom, and the venue is preparing to transition the space for the reception after the ceremony. This is acceptable as long as our stage is set up and we have access to it for setup.

AVOID OVERCOMPLICATED PLANNING

Keep the planning simple, and make sure to have a sensible plan laid out well in advance. For weddings, much of the early planning focuses on food service and formalities. We often take cues from the catering manager to ensure a smooth flow of service. It’s usually best to complete all formalities before dinner, allowing plenty of time for fun afterwards.

Getting the energy started early is also important. We like to play fun music as soon as the doors open and continue with lively dance music in between courses whenever possible.

AVOID MICRO-MANAGING THE BAND OR PLAYLIST

This situation is quite rare, as most people understand that we excel at creating enjoyable parties for guests of all ages. However, occasionally, a well-intentioned client may request more influence over the band’s playlist than we are comfortable with. The most successful events are those where everyone feels included, and it’s wonderful to see guests of all ages on the dance floor, truly enjoying themselves together. When we are free to choose the music, every event becomes a celebration that meets our exceptionally high standards. Conversely, it’s only when we receive excessive direction that the party may not reach its full potential. That said, we aim to accommodate our clients as much as possible. We find that providing either too much or too little input is less effective. We welcome just the right amount of direction, and with that, The Headliners Band will elevate your event to extraordinary heights.

HEADLINERS BAND – PARKING

Some venues do not feel obligated to provide parking for the band’s vehicles. This can create much unnecessary difficulty and stress for our group (and we want them to be in a good festive mood for your event). Parking can be especially challenging for our truck and trailer; for instance, finding parking in places like Miami can be nearly impossible. While there is typically a spot available at the venue, it often requires the client’s help to arrange parking for our truck and trailer in advance. We usually know which venues are problematic and can inform you if we need assistance.

ROOM LAYOUT

To achieve the best results, it’s important to keep your guests in the same area as the band and the party activities. This means placing the bar in the same room as the band and ensuring there are no barriers, like tables, between the band and the dance floor. While it’s rare, we have seen this happen before!

Additionally, having an important sports game on TV in another room can really distract from the event, as can scheduling group photos right in the middle of a dance set. Anything that creates interruptions once the party has started can quickly disrupt the momentum and energy of your celebration.
